Members

Keep a register of everyone who contributes, and their monthly subscription.

The Members section is your masjid's register of everyone who contributes. For each member you keep their name and contact details, the amount they give each month, and a running picture of what they have paid and what they still owe.

Understanding subscriptions

A subscription is the amount a member has agreed to give regularly, each month or each year depending on the fund. Each member can set their own amount, and a member can subscribe to more than one fund (for example a regular amount to the General fund and a separate amount to a Building fund).

Subscriptions are not charged automatically. InflowBooks does not move any money. The subscription is simply the expected amount, so the system can show you who has paid and who is behind.

A fund can instead be charged once per house, such as varisangya in a mahallu. Then only the head of the house holds it, and the other members' pages show whose subscription covers them. Record their payments for the head. See Funds for how a household fund works.

On the member's page, under Subscriptions & funds:

  • Edit changes the amount from a month you choose; earlier months keep the old amount. Choose the month the amount began to correct it for every month. Edit also corrects the start month and the previous outstanding.
  • Cancel stops the subscription at the end of this month. What is outstanding stays owed.
  • Resume starts a stopped subscription again from a month you choose. The months in between are not owed. To put right a cancel made by mistake, resume from the month after it ended.
  • Remove is for a subscription added by mistake. It takes the member out of the fund completely, so nothing is owed. It shows only while no payment is recorded for the member in that fund; delete those payments or move them to the right fund first.

Understanding Outstanding

Outstanding is the total a member owes. It goes up by their subscription each period, month or year, and goes down when you record a payment.

  • A positive Outstanding means the member is behind by that amount.
  • A negative Outstanding means they have paid in advance.
  • An Outstanding of zero means they are exactly up to date.

A member who owed money before you started using InflowBooks carries it as their previous outstanding. To record a payment toward it, choose Previous outstanding under Paying for when you record the payment, on the member's page or on Payments. The choice shows only while some of it is left, and the amount cannot be more than what is left. The receipt reads "Towards: Previous outstanding". A payment recorded for a month always pays that month, even when old dues are open.

Adding a member

  1. Open Members from the menu and choose Add member.
  2. Enter their name. Phone and email are optional but worth adding.
  3. In a mahallu, choose their house and their relation in the family. A house with no head yet suggests Family Head; a house can have only one, and the house page is where the head is changed.
  4. Set their monthly subscription amount and the fund it goes to.
  5. If they already owe money, enter that as the opening balance so their record starts out accurate.
  6. Save. The member now appears in the register, and will show as Outstanding next month if they have not paid.

The fields explained

Name
The member or family head you are recording. This is the only required field.
Phone and email
Optional, but useful for sending receipts and reminders later.
Subscription
The amount this member has agreed to give each month or year, depending on the fund, towards a chosen fund.
Fund
Which fund the subscription counts towards, for example General or Building.
Opening balance
Any amount already owed when you add them. Enter what they were behind by, so the figures start out correct.

Editing and viewing a member

Select any member to open their page. There you can update their details or subscription, and see their full payment history. From the same page you can record a payment, add another subscription to a different fund, or mark past months as paid.

Profile details

Each member can also have optional profile details such as gender, date of birth, marital status and occupation. These are never required, but when you fill them in, the Statistics page can chart your community automatically.

Under Where they live, mark a member who lives away from home (a pravasi). Choose Elsewhere in India for someone working in another town or state, or Abroad and pick the country. Add the city or area in Place. Members living away show on their house page, can be filtered in Statistics, and appear in the member list export. When they return, set it back to At home.

Documents

Keep the papers other offices issue about a member on their record: a marriage NOC from another mahallu before a nikah, a transfer NOC, or a birth, death or marriage certificate from the panchayat. Open the member's page and choose the Documents tab.

  1. Choose Add a document.
  2. Pick the Type. Title, Issued by, Date on the document and Remarks are optional.
  3. Under File, upload a PDF or a photo of the paper: PDF, JPG, PNG or WebP, up to 10 MB.
  4. Choose Add document.

Open shows the document in a new tab, and Download saves a copy. Edit corrects the type, title, issuer, date and remarks; the file itself stays as it was added. To replace a file, add the new one and remove the old one.

Documents are stored privately and never appear on your public page. Anyone on your committee who can view members can open them. Those who can edit members can add and edit them. Removing a document needs the same permission as deleting a member.

Certificates your own masjid issues are on the member's Certificates tab instead. See Certificates.

Marking a member inactive

When a member leaves the register without a mahallu transfer, for example after marrying and moving out, moving away or joining another mahallu, mark them inactive instead of removing them. Their record, payments and history stay.

  1. Open the member's page, choose the Profile tab and go to Status. On a house page, open Manage on their row.
  2. Choose Mark inactive.
  3. Pick the Reason and the Inactive from date. Add Remarks if you want; the reason Other needs them. The built-in reasons (married and moved out, moved away, joined another mahallu, divorced, left, removed, no longer in contact, other) cover most cases, and your own reasons are listed after them. An administrator adds, renames or archives your own reasons under Settings, Register and features, Inactive reasons.
  4. For the head of a house, choose the New head of the house. If you leave it empty, the house's household subscription, if it has one, ends with this month; add it for the next head from the house page.
  5. Choose Mark inactive to save.

What happens then:

  • Their subscriptions end with the month of the inactive date. Outstanding from earlier months stays on their record, and you can record payments toward it from their page.
  • They leave the active member totals, payment reminders, meeting registers and the member pickers on other pages.
  • Lists show them struck through, marked Inactive. On Members, the Status filter shows active, inactive, moved-out or deceased members, and the line under the heading counts each. Their page shows the reason, the date, the remarks and who marked them to everyone who can view members.
  • A new head takes over from the next month, with the house's household subscriptions. When nobody active is left in the house, the house is closed.

When they are back, choose Mark active again, pick the date and leave Restart their subscriptions ticked. Back by the next month, their subscriptions continue as before. Later than that, they start again from the month they are back, and the months in between are not owed. A subscription that follows the fund's fixed amount restarts at the fund's current amount.

Status history on their page lists each time they were marked inactive or active again, with the remarks and who did it.

Removing a member

Members can be removed when needed. A removed member is hidden, not erased, and their payment history stays intact. There is no undo in the app. Ask the platform administrator to restore a member removed by mistake.
