Reports and receipts

Produce statements, Outstanding lists and branded receipts as PDF or CSV.

Reports turn your day to day record keeping into a clear picture of money received, ready to read at a committee meeting or to hand to an auditor. Receipts give each donor proof of their contribution. Both are produced from the records you already keep, so there is nothing extra to fill in.

What a report shows

A report gathers all income over a date range you choose and presents the total, along with a breakdown by fund and by source. The source breakdown lets you see, for example, how much came from regular member contributions versus a named collection source. You can filter the report by fund, by method, by source or by who recorded the money to focus on exactly what you need.

There is also an Outstanding view, listing the members who are behind for the chosen period. This is the quickest way to see who needs a reminder.

The filters explained

Date range
The period you want to report on, for example a single month, a quarter or a full year.
Fund
Limit the report to one fund, such as General or Building, or include them all.
Method
Narrow to how the money came in, for example cash or bank transfer.
Source
Separate member contributions from a named Campaign or collection source.
Recorded by
Split the period per collector: pick one or more committee members to see just the money each of them took in.

Running a report

  1. Open Reports from the menu.
  2. Choose the date range you want to cover.
  3. Set any filters, such as a single fund, a method or a particular source.
  4. Read the totals and the breakdown by fund and by source.
  5. Export the report as a PDF to print or share, or as a CSV to open in a spreadsheet.

The general body report

The statement the committee tables at the general body is its own document, built in one click from the Reports page. It carries the whole story on one page: income by fund and expenditure by category, the cash book balances where the book is open, subscription arrears and pending promises listed separately as money still to be received, the size of the register, and lines for the president, secretary and treasurer to sign the tabled copy.

It prints in English or Malayalam, whichever language the meeting speaks, and covers whatever date range the page is showing. The quick-range buttons jump to the current year so far or the last completed year, following the year start set for your organisation.

Exporting any list

Reports are not the only place you can export from. Every list in the dashboard has its own Export button above the table, offering the same PDF and CSV choice: Payments, Collections, Pending collections, Expenses, Members and Houses, as well as the lists on a single fund's or collection source's page.

An export always covers every record that matches what you have set, meaning the filters and the search box, not just the page you happen to be looking at. So a Collections list showing 25 rows of 400 still exports all 400. The document says at the top which filters were applied, and gives the total at the bottom.

Putting a list in the order you want

Every list carries an Order chip alongside its filter chips, naming the column it is sorted by: "Order: Date", "Order: Amount". Tap it to pick a different column, and choose the highlighted one again to reverse it, so newest first becomes oldest first. The × on the chip puts the list back to the order it opens in. On a computer you can also click a column heading in the table to the same effect.

The order is part of the link, so a page you bookmark or send to someone else opens the same way round. It is also what the export uses: the document comes out in the order you were looking at, and says at the top which one that was. So a Payments list sorted by Amount, highest first exports as a sheet with the biggest payment on the first line.

A member's page, a house's page and a fund's page also offer Export statement: every transaction for that one member, household or fund, in date order. That is the document to hand over when someone asks what they have paid over the year.

Receipts

A receipt is a donor's proof that their contribution was received. Every receipt is numbered and branded with your masjid name and logo, so it looks official and is easy to trace later.

Once issued, a receipt can be shared as a PDF, for example by WhatsApp or email, printed for your records, or downloaded to keep. You can issue a receipt when you record a payment, or later from the payment's row. Either way it is created from the figures you have already entered. See Recording payments for how to issue one.

Receipts, payment reminders and printed reports all carry whatever you have set under Settings, in Branding: your logo, the faint background mark, and your seal and signature on the ruled lines if you have uploaded them, or blank rules if your committee prefers to sign the printed paper itself. The same section chooses the receipt design, from the classic full page to a compact half-page slip. Set those up once and every document you print or share is ready to hand over.

Changing any of that changes the receipts you issue from then on. A receipt already handed out keeps the seal and signature it was printed with, so a copy shared or printed again is the same paper the member is holding.
